How We Structure Our Engagements

White Whale Events operates at the intersection of leadership, execution, and high-stakes fundraising moments.

We are not priced like a traditional event planner. Our work combines leadership-driven strategy, hands-on execution partnership, and long-term capacity building.

Pricing reflects the level of leadership responsibility, organizational complexity, and execution support required — not a checklist of deliverables.

Our goal is to leave organizations stronger than we found them, with clarity, confidence, and fundraising leadership they can carry forward.

Engagements are structured around leadership responsibility, execution partnership, and strategic amplification, matched to the complexity of each fundraising moment.

White Whale Events maintains a limited number of engagements each year to ensure depth, focus, and leadership continuity.

Primary Engagement Model

Most organizations partner with White Whale through a Core Leadership & Execution Partnership — a comprehensive, leadership-driven engagement designed to reduce risk, strengthen internal clarity, and support high-stakes fundraising moments without creating long-term dependency.

Other engagement options exist to provide entry points, targeted support, or extended partnership over time.

Core Leadership & Execution Partnership

$15,000 – $22,500+

A comprehensive leadership-driven partnership for organizations navigating complex, high-stakes fundraising — providing strong execution, proactive management, and continuity without handing off ownership or institutional knowledge.

This level typically includes:

  • Full gala strategy and leadership guidance
  • Active execution leadership across planning and production
  • Direct coordination with vendors, planners, and production partners
  • Ongoing collaboration with staff, boards, and key stakeholders
  • Expanded Tribal Workbook™ development, including execution notes, vendor context, and post-event learning
  • Support for donor and sponsor engagement strategy

At this level, White Whale assumes significant execution responsibility, reducing day-to-day burden and risk — while ensuring leadership visibility, shared understanding, and long-term capacity remain inside the organization.

Best for:
Complex galas, smaller events requiring full management, or organizations seeking strong execution leadership without creating dependency.

This partnership includes one Mission Moment Video (standard scope), fully integrated into the overall fundraising and event strategy.

Organizations engaged in a Core Leadership & Execution Partnership receive complimentary organizational access to select Douglas County Philanthropy programs and leadership gatherings during the term of their engagement.

This access supports leadership development and board engagement beyond the event itself.

Advisory Engagements (Entry Points)

Introductory Advisory Engagement

These engagements are designed to provide clarity and informed decision-making — often serving as a first step toward deeper partnership.

Starting at $3,500

A strategic advisory engagement designed to provide clarity, perspective, and confidence before committing to a larger partnership.

This level typically includes:

  • Strategic review of an upcoming or existing gala or fundraising event
  • Clarification of goals, audience, and success metrics
  • Guidance on staff, board, and volunteer roles
  • High-level recommendations around event structure, scope, and vendors

This engagement is intentionally high-level and advisory in nature, helping organizations see their event more clearly and make informed decisions about next steps.

Best for:
Organizations early in planning, navigating leadership transitions, or seeking strategic clarity before moving forward.

Storytelling and video services are not included at this level but may be explored in future engagements.

Focused Leadership Advisory Engagement

$5,000

A time-bounded, leadership-focused engagement designed to create alignment, accelerate decision-making, and strengthen confidence — without extended planning or execution management.

This engagement bridges high-level advisory work and ongoing partnership, providing fast clarity and momentum while keeping leadership ownership clearly inside the organization.

This level typically includes:

  • Strategic review of a specific event, initiative, or fundraising moment
  • Clarification of purpose, priorities, audience, and success metrics
  • Defined roles and decision-making structures for staff, board, and volunteers
  • High-level event flow and structural recommendations
  • Vendor approach guidance, including what to hire, what not to, and where to focus energy
  • A condensed Tribal Workbook™, capturing strategy, decisions, and direction

Best for:
Organizations working with White Whale for the first time, planning smaller or specialty events, or navigating moments where leadership structure exists but clarity does not. It’s designed for teams who want fast insight and direction — without committing to ongoing planning support.

Founding-Year Partner Benefit

To mark White Whale Events’ founding year, organizations engaging with us during this period receive a limited-scope Mission Moment Video as part of this engagement.

This benefit is offered to early partner organizations as a way to deepen impact and strengthen storytelling at a critical fundraising or leadership moment — without expanding scope or complexity.

The Mission Moment Video is intentionally focused and strategically framed, supporting one key message or moment aligned with the organization’s broader fundraising goals.

This benefit is time-bound to White Whale’s founding year and is not tied to the organization’s age or size.

Additional video production services can be discussed and quoted based on scope, timeline, and production requirements

Strategic Gala Partnership

$7,500 – $10,000

A leadership-centered planning partnership designed to establish clarity, alignment, and durable systems — while providing meaningful execution support across the full planning cycle.

This level typically includes:

  • Gala strategy aligned with broader fundraising goals
  • Board and staff alignment around roles, responsibilities, and decision-making
  • Vendor strategy, scope development, and coordination guidance
  • Ongoing hands-on planning support to maintain momentum and accountability
  • Development of the Tribal Workbook™, capturing strategy, decisions, and institutional knowledge

Execution support is active and collaborative, ensuring plans move forward with confidence — while leadership understanding, decision-making, and ownership remain inside the organization.

Best for:
Organizations seeking structure, alignment, and planning support — without requiring full-scale production management or long-term dependency on outside planners.

Mission Moment Video is available as a bundled enhancement, offered at preferred integrated pricing and aligned directly with fundraising strategy.

Expanded & Multi-Year Engagements

$25,000 – $50,000+

Extended leadership and execution partnerships designed to provide continuity, stability, and confidence across complex fundraising ecosystems and multiple events.

This level typically includes:

  • Multi-year or signature event strategy
  • Full event management for one or more events
  • Deep board, volunteer, and leadership engagement
  • High-touch execution leadership and vendor coordination
  • Multi-year Tribal Workbook™ evolution, supporting continuity through leadership transitions
  • Integrated donor and sponsor strategy across events and campaigns

These engagements emphasize reduced risk, retained knowledge, and leadership stability — ensuring organizations are not rebuilding from scratch year after year.

Best for:
Organizations seeking long-term partnership, continuity through change, and durable fundraising leadership — not just support for a single event.

Expanded engagements include integrated storytelling and video strategy, incorporating Mission Moment Videos and Campaign Storytelling & Event Marketing Packages across fundraising cycles.

Organizations engaged in an Expanded or Multi-Year Partnership receive complimentary organizational access to select Douglas County Philanthropy programs and leadership gatherings throughout the term of the partnership.

This access supports ongoing leadership development and board alignment across fundraising cycles.

Optional Storytelling & Video Enhancements

For organizations seeking deeper donor engagement and emotional resonance, White Whale offers curated storytelling and video production services through a trusted creative partner. These enhancements are designed to amplify mission and fundraising moments, not simply document events.

Mission Moment Video

$2,500–$3,500
Short-form storytelling designed to anchor key fundraising moments, donor appeals, or leadership messages.

Campaign Storytelling & Event Marketing Package

$7,500
A bundled package supporting engagement before, during, and after events through coordinated video storytelling.

Depending on engagement level, storytelling and video services may be included, bundled, or expanded as part of a leadership partnership.

What Our Pricing Reflects

We believe in clear, transparent conversations about scope, leadership responsibility, and pricing — so organizations understand not just what they are paying for, but why.

Those conversations inform how we structure our engagements and what our pricing ultimately reflects, including:

  • Leadership and strategic responsibility
  • Teaching and knowledge transfer
  • Execution leadership through partnership
  • Strategic amplification of mission and impact
  • Reduced long-term dependency on outside planners
  • Fundraising outcomes aligned with leadership clarity and confidence

Final scope and pricing are always discussed collaboratively.
